The AI Assessment
Get hours back.
Start with the map.
The AI Assessment is one 45-minute conversation, a 15-page written report, and a prioritized plan for where AI fits in your business. Specific tools. Time to implement. Hours saved. Yours to keep, with or without us.
Or start with a free 15-minute call. No pitch, no pressure.
Nevada County businesses get the first look.
What it is
The AI Operations Map.
Here’s what the assessment looks like from your side: one friendly 45-minute call. What’s happening underneath is a structured interview built to surface every place your business is leaking time, followed by a dual-layer analysis that runs the transcript through frontier models to identify specific tools and implementations matched to specific leaks.
You experience a good conversation. We hand back a forensic read of where AI fits in your business, ranked by impact and effort, with a prioritized list of projects you could act on next week.
The map is yours whether you hire us for anything else or not. Some of what we recommend you can implement on your own. Other recommendations are bigger changes worth thinking through carefully. Hire us to build them, hire someone else, or run them yourself.
Who it’s for
Who should book an AI assessment?
Owners, operators, managers, anyone responsible for figuring out AI at their company. If you’re the person your team looks at when AI comes up in a meeting, this is for you.
Owners wearing too many hats
Your hands are in scheduling, quoting, customer follow-up, and reporting. Your calendar has not loosened up in a year. You want the time back for you and your team.
Operators with a CEO breathing down their neck
General managers, ops leads, office managers, chiefs of staff. You report up to someone who keeps asking what the company is doing with AI, and you need a real answer with real numbers.
People who signed up for Claude and got stuck
You paid for the subscription. You used it a couple of times. It felt interesting. Then you closed the tab. You suspect there is a lot more to it. You are right, and the path in is simpler than it looks.
Local and service businesses do especially well with this assessment. Doctors, dentists, real estate agents, contractors, autoshops, healthcare clinics, law firms, accountants, the kinds of operations where time disappears into the phone, the inbox, and the CRM. If you’re a Nevada County business, the intro pricing applies.
How it works
Four steps to the map.
The Assessment is Phase 1 of how we work (Audit, Scope, Deploy) and runs in four parts. About five business days end to end. You spend 75 minutes of your own time, split across two calls.
The fit call
A short conversation to check that the assessment is right for your business. If it is not, we say so. No sales pitch, no upsell, no wasted time.
Your time: 15 minutes.
The discovery call
A structured conversation about how your business runs day to day. We walk through yesterday, the tasks you dread, where work piles up, and any automations that have broken or disappointed. The call is about pulling problems to the surface, not pitching solutions.
Your time: 45 minutes.
Analysis and report
We take the full transcript of the discovery call and work through it with Claude and a short list of research tools. We identify the highest-impact opportunities, match each one to a specific off-the-shelf tool, and quantify the hours and dollars on the table. Then we write the report.
Your time: none.
The walkthrough call
We share the report on screen and walk you through every recommendation. You ask questions. We agree on what to do first. You leave with a four-day plan to implement the quick wins yourself, and the option to hire us for the heavier lifts.
Your time: 30 minutes.
What you get
What is in the AI assessment report?
The report is a branded 15-page PDF delivered within 48 hours of the discovery call. It has six sections, each tied back to something you said on the call.
Executive summary
Your pain points in plain language, plus the outcome: how many hours per week the recommendations should return to you.
Effort vs. impact matrix
Every opportunity plotted on a 2 by 2 grid so you can see the quick wins at a glance.
Recommended solutions
Five to seven specific tools matched to specific problems. Names, links, pricing, what they do.
Four-day quick-win plan
Day by day, step by step. “Day one, set up Fathom and connect it to your calendar.” Designed so you can run it yourself.
Bigger moves to consider
The recommendations that are too big for a four-day plan. For each one: what it is, what it would cost to scope and build, and the expected return. Your call whether to take them on, when, and with whose help.
Financial impact
Hours saved times your rate, minus tool costs, equals net monthly value. Usually makes the assessment fee look like a rounding error.
After the report
Choose your own adventure.
The Map lands as a ranked list of projects. Each one has a name, a ballpark scope, a timeline, and a price. Pick what you want to handle in-house, pick what you want us to build, leave the rest for someday.
We work in defined engagements with a start and a finish, not monthly retainers. You hire us for a specific thing, we build it, we hand it off.
AI Voice Receptionist
An AI that answers your phone 24/7, qualifies callers, checks your calendar, and books the meeting. Like the one that picks up our line. Two to four weeks.
Speed-to-Lead
Inbound web and phone leads contacted in under 60 seconds, every time. Logged in your CRM, follow-up scheduled, you alerted. One to two weeks.
Knowledge Chatbot
A custom chat agent trained on your documents, SOPs, FAQs, and product data. Answers customer questions or briefs your team on demand. One to two weeks.
Personal AI Operator
Your own AI chief of staff. Reads email, calendar, and notes. Sends a daily dossier. Drafts replies. Can run local on your own hardware. Two to three weeks.
Internal Automation
Connect the tools that don’t talk to each other. Replace the manual handoffs that eat your week. Live dashboards on the data when useful. One to three weeks.
AI-First Website
A site you update by typing what you want changed. Built for AI search engines (Answer Engine Optimization). No web guy, no monthly retainer. Two to four weeks.
We do not sell monthly retainers as a default. If ongoing support makes sense after a build, we talk about it then.
Pricing
$499 intro. $1,000 standard.
Standard pricing is $1,000. A limited-time intro price of $499 is available for Nevada County businesses.
Includes the fit call, the discovery call, the written report, the walkthrough call, and the four-day quick-win plan. Nothing billed on top.
Questions
Common questions about the AI assessment
How long does an AI assessment take?
About five business days. You spend 75 minutes of your own time, split across two calls. We deliver the written report within 48 hours of the discovery call.
What if the report is not useful?
Tell us. If you finish the walkthrough call and feel you got nothing out of it, we refund the fee.
Do I have to hire Arrow & Bell after the assessment?
No. The report is yours. The four-day quick-win plan is built so you can run the first wave of changes on your own. The bigger opportunities often take more time and thought, and many clients want help scoping them. We are happy either way.
What tools does Arrow & Bell recommend?
Whatever fits the problem. We don’t resell platforms and we don’t take affiliate commissions. The answer is usually an off-the-shelf tool you haven’t heard of, matched to a specific pain point in your business.
Is this just ChatGPT with extra steps?
No. The interview is structured. The analysis runs the transcript through frontier models with a research stack to identify specific tools matched to specific leaks. The judgment, the local context, the sequencing, and the implementation work are ours. You can paste a prompt into ChatGPT yourself. The work that takes a week is figuring out which three of the recommendations belong in your business and what order to do them in.
What areas do you serve?
Intro pricing is for Nevada County businesses, including Grass Valley, Nevada City, Penn Valley, and the surrounding area. The assessment itself runs on Zoom, so we can work with clients anywhere in the U.S. at the standard price.
How is this different from a consultant giving me a list of AI tools?
The list is a small part of the report. Most of the work is mapping the tools to the specific bottlenecks in your business, sequencing them so the quick wins come first, and quantifying the financial return. You can find a list of AI tools online in five minutes. What takes a week is figuring out which three of them belong in your business.
